Job Description
ASTA is seeking an experienced, detail-oriented Events Sales Coordinator to manage the Exhibitor Sponsor experience at multiple events throughout the year and to support a sales pipeline to grow revenue.
In this role, you’ll be the go-to person for everything related to our Exhibitor Partners, from event build-out, registration, and booth setup to on-site logistics and post-event follow-up. You’ll collaborate across departments, bringing creativity, organization, and a positive attitude to every interaction. Your mission: make our events unforgettable, grow exhibitor loyalty, and drive year-over-year growth in exhibitor investment.
The ideal candidate is curious, adaptable, and perceptive, someone who understands the exhibitor journey from initial planning through post-event follow-up.
You’ll work closely with multiple departments to ensure every exhibitor interaction is seamless, polished, and memorable. Your ultimate goal is to enhance the exhibitor experience, drive repeat participation, and grow investment in ASTA events year over year.
Responsibilities:
Exhibitor Registration Management
• Oversee the entire exhibitor registration process, from setup to on-site execution.
• Manage floor plans and booth inventory for all trade show events.
• Create, test, and maintain registration forms (via Pheedloop and iMIS) for accuracy.
• Compile and distribute the Exhibitor Manual and other event resources.
• Lead ongoing communications with exhibitors, including emails, updates, and reminders.
• Collaborate with the creative team to design badges and with the events team on registration desk logistics.
• Supervise exhibitor move-in and ensure a smooth on-site experience.
• Develop post-event surveys, analyze feedback, and track registration trends.
Partner Sponsorship Support • Manage Educational Journeys, including collecting promotional materials, collaborating with marketing, and tracking revenue.
• Support a sales pipeline of accounts to increase review opportunities for established Partners.
• Collaborate with Business Development on non-event sponsorships and partner webinars.
• Research industry best practices and implement strategies to improve exhibitor and partner processes.
Expectations & Core Competencies • Understand and articulate ASTA's mission, value proposition, and industry trends.
• Build strong relationships with partners, identifying opportunities to upsell and expand engagement.
• Communicate professionally across internal and external stakeholders.
• Manage multiple priorities, balancing day-to-day responsibilities with long-term projects.
• Navigate membership databases and event/marketing systems (iMIS, Pheedloop, HubSpot).
• Actively support on-site sponsor experiences, including registration, signage, logistics, and production elements.
• Collaborate cross-functionally with Marketing, Membership, and Accounting teams to ensure partner needs are met and agreements executed.
Qualifications:
• Bachelor's degree required.
• 3+ years of experience in sales, project management, or event management.
• Strong project management skills, capable of handling multiple priorities simultaneously.
• Excellent written and verbal communication skills.
• Experience working in fast-paced, live-event environments.
• Willingness and ability to travel frequently.
